How to choose a CRM for a small business

A CRM can help a small team keep customer information, conversations, follow-ups and sales activity organized. The best choice is usually not the tool with the longest feature list; it is the one your team can actually use consistently.

1. Start with your workflow

Write down how a new lead or customer currently moves through your business. Identify where information gets lost, where follow-ups are missed, and which tasks are repetitive.

2. Decide which features matter

Common needs include contact management, pipelines, tasks, email integration, reporting, permissions and automation. Prioritize only the features that solve a real problem for your team.

3. Consider team size and complexity

A two-person company may need something simple. A growing team may care more about reporting, permissions and integrations. Avoid paying for complexity before you need it.

4. Test before committing

When possible, use a free trial and run a real workflow through the system. Ask the people who will use the tool whether it makes their work easier or harder.
